H-TecTime – Privacy Policy

This Privacy Policy explains how H Solutech (“we”, “our”, or “us”) collects, uses, and protects personal information when employees use the H-TecTime mobile application and related services.

H-TecTime is a business tool for companies to manage employee attendance, work locations, and shifts. The app is not intended for personal or consumer use; access is provided by your employer.

1. Data controller

In most cases, your employer (the company that provides your H-TecTime account) is the data controller for the personal data processed in the app. H Solutech acts as a service provider / data processor on behalf of your employer.

2. Information we collect

2.1 Account and profile information

  • Full name
  • Username and, where applicable, company email or phone number
  • Employee ID or internal identifiers defined by your employer
  • Company, location, and assigned shifts

2.2 Attendance and work information

  • Clock-in and clock-out times and dates
  • Assigned work location and shift for each day
  • Hours worked, breaks and lunch time (where configured)
  • Comments or notes you or your manager add to an attendance record

2.3 Location data (GPS)

With your permission, H-TecTime may collect location data from your device when you:

  • Clock in or clock out from a shift
  • Register attendance manually where location verification is required

Location data is used only to verify that you are within the allowed work area configured by your employer (for example, a specific job site or branch).

2.4 Camera and photos

With your permission, H-TecTime may use your device’s camera to take an attendance photo when you clock in or out, if your employer enables this feature. Photos are stored securely and are visible to authorized managers and administrators in your company to verify attendance.

2.5 Technical and usage information

  • Device information (model, operating system version)
  • App version and basic diagnostics to improve stability and security
  • Log information related to errors or connectivity issues

3. How we use your information

We use the information collected through H-TecTime to:

  • Register your clock-in and clock-out times and calculate hours worked
  • Verify that attendance is registered from approved locations
  • Show your managers accurate reports of attendance and shifts
  • Maintain the security and integrity of the service
  • Provide technical support and improve the performance of the app
  • Comply with legal obligations when applicable

4. Legal basis

Depending on your country or region, we process your data based on one or more of the following legal grounds:

  • Performance of your employment contract and related HR processes
  • Legitimate interests of your employer in managing attendance and work schedules
  • Your consent for optional features such as camera and location permissions
  • Compliance with legal obligations (for example, labor regulations)

5. How we share information

  • Your employer – Managers and administrators in your company can see your attendance records, shifts, locations and, where enabled, attendance photos.
  • Service providers – Trusted hosting and infrastructure providers that help us operate the H-TecTime platform under strict confidentiality agreements.
  • Authorities – When required by law, a court order, or to protect the rights, property, or safety of H Solutech, your employer, or others.

We do not sell your personal information to third parties.

6. Data retention

Attendance and related data are retained for as long as required by your employer for HR, payroll, and legal compliance, and in accordance with applicable law. After that period, data may be anonymised or securely deleted.

7. Security

We apply organizational and technical measures to protect your information, including:

  • Encrypted connections (HTTPS) between the app and our servers
  • Restricted access to data for authorized personnel only
  • Secure authentication for administrators and managers
  • Regular updates and monitoring to reduce security risks

However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security of your data.

8. Your rights

Depending on your location, you may have rights such as accessing, correcting, or deleting your personal data, or limiting certain types of processing. Because your employer is usually the data controller, most of these requests should be directed to your employer.

9. Children’s privacy

H-TecTime is designed for use by employees in a work context and is not directed to children. We do not knowingly collect information from children under the age required by local law for employment.

10. International data transfers

Our servers or service providers may be located in different countries. When data is transferred across borders, we take steps to ensure that appropriate safeguards are in place, in line with applicable data protection laws.

11. Changes to this Privacy Policy

We may update this Privacy Policy from time to time. The “Last updated” date at the top of this page indicates the latest version. If we make material changes, we will notify your employer and, where required, provide notice within the app.
